STANDARD BOOKING TERMS & CONDITIONS

Over view

These Terms and Conditions apply to any tours booked with Ifude Tours & Safaris Co. Ltd; a local family-owned Safari Company based in MtowaMbu – Arusha, Tanzania – East Africa. These Terms & Conditions govern the contractual relationship between Ifude Tours & Safaris Co. Ltd and yourself (customer). Please read these Terms and Conditions carefully as by booking any tour with Ifude Tours & Safaris Co. Ltd you acknowledge that you have read and understood these Terms and Conditions and you accept and agree to be bound by these Terms and Conditions. If you have confirmed a booking on any tours with more than one client named and booked on such a booking, you shall be deemed to have accepted these Terms and Conditions on behalf of all clients named in the booking (including minors and those with a disability) and therefore all clients in that group indicate their acceptance and agreement to these Terms and Conditions. The client who confirmed the booking is considered to be the selected contact person for all other clients named in that booking.

To secure your adventure, the following payment schedule applies:

  • Deposit: A 30% deposit is required to reserve your space and begin ground preparations.

  • Second Payment: 50% is due 30 days prior to the first day of the trip.

  • Final Balance: The remaining 20% is due 15 days prior to arrival.

  • Last Minute Bookings: Bookings made within 30 days of departure must be paid in full immediately.

Bank Charges: All payments must be made in US Dollars (USD). The client is responsible for all bank transfer fees and intermediary bank charges. The net amount received in our account must match the invoiced amount.

All quotations provided by Ifude Tours & Safaris Co. Ltd are based on the rates, park fees, taxes, fuel prices, exchange rates, and supplier costs applicable at the time of quotation.

While every effort is made to maintain confirmed prices, the Company reserves the right to apply reasonable price adjustments where increases occur beyond its control, including but not limited to:

  • Government taxes or VAT
  • National Park, concession, or conservation fees
  • Fuel prices
  • Accommodation or transportation supplier increases
  • Currency exchange rate fluctuations
  • New government regulations or levies

Under normal circumstances, any price adjustment after booking confirmation shall not exceed 5% of the total tour cost.

However, where increases are caused directly by government actions, park authority changes, significant currency fluctuations, force majeure events, or other circumstances beyond the Company’s control, Ifude Tours & Safaris Co. Ltd reserves the right to pass on the actual additional costs incurred.

Whenever reasonably possible, clients will be notified of any surcharge or price adjustment at least 30 days prior to the commencement of the tour.

For bookings confirmed within 30 days of arrival, any unavoidable increases imposed by governments, conservation authorities, suppliers, or third parties may still be applicable after confirmation.

Where a confirmed booking is affected by a price increase exceeding 10% of the total tour price, the client may choose one of the following options:

  • Accept the revised price;
  • Amend the itinerary to reduce costs where possible;
  • Cancel the affected services and receive a refund of recoverable payments less any non-recoverable third-party costs already incurred.

To make a booking with Ifude Tours & Safaris Co. Ltd, the client shall provide their preferred travel dates, destinations, activities, number of travelers, and any special requirements relevant to the trip. Based on this information, the Company will prepare a customized itinerary and quotation according to the client’s interests, travel style, and budget. A booking shall be considered confirmed once the required deposit has been received and written confirmation has been issued by Ifude Tours & Safaris Co. Ltd.

The client or Person making the booking must be at least 18 years of age and agrees to provide complete, accurate, and up-to-date information necessary for the booking process.

Where a booking is made on behalf of additional travelers, the person making the booking confirms that they are authorized to act on behalf of all persons included in the reservation and accepts these Terms and Conditions on their behalf.

The client further confirms that:

  • All information provided for all travelers is accurate and complete;
  • Necessary permissions and consents have been obtained for sharing personal information required for the booking;
  • Travelers have been informed of the applicable Terms and Conditions.

 

Information requested for booking purposes may include:

  • Full names as shown in passports
  • Passport details where required
  • Nationalities
  • Travel dates
  • Number of adults and children + their Age
  • Dietary requirements
  • Medical conditions relevant to travel
  • Special requests or preferences

The Company reserves the right to substitute the hotels named in the itinerary, when absolutely necessary. Avoid unexpected accommodation changes by early booking to guarantee your first choice (minimum 60 – 35 days before the Safari). The Noted accommodations in itineraries will be immediately booked and confirmed upon receipt of payment and/or a signed contract. In the unlikely circumstance that, by the time Ifude tours tries to confirm and book, the rooms are no longer available, Ifude tours will substitute the mentioned accommodation in the itinerary with same standard, or allow the traveler(s) to give input on the selection of alternate locations. The total price may be adjusted as a result.

Traveler is advised to review the websites of the noted accommodations and/or to search for and read online reviews. While we do our best to recommend and accurately describe the best accommodation choices for your situation, Ifude tours cannot be held liable when the traveler’s expectations differ from the actual accommodation. Should a traveler arrive at an accommodation and find something unacceptable, Ifude tours will assist with the identification of a new location, but the costs will be billed to the traveler. If the accommodation has a defect that the traveler believes warrants a refund, Ifude tours will aggressively pursue a refund on traveler’s behalf

Unless otherwise stated in writing, tour prices include:

  • Accommodation during the safari or tour
  • Meals as specified in the itinerary
  • Private or shared transportation as specified
  • Services of professional driver-guides
  • National park and conservation area entry fees
  • Airport transfers where specified
  • Government taxes applicable at the time of booking
  • Mineral Drinking Water

Tour prices do not include:

  • International or domestic flights unless stated
  • Travel insurance
  • Visa fees
  • Personal expenses
  • Drinks and beverages unless specified
  • Laundry services
  • Telephone charges
  • Tips and gratuities
  • Optional activities not listed in the itinerary
  • Medical expenses
  • Additional accommodation due to delays or unforeseen circumstances

 

Any item not specifically listed as included shall be considered excluded.

 

If a client wishes to make changes to a confirmed itinerary, Ifude Tours & Safaris Co. Ltd will make reasonable efforts to accommodate such requests subject to availability.
Additional costs resulting from amendments, including supplier penalties or administrative expenses, shall be payable by the client.
Once travel has commenced, no complimentary changes to the itinerary will be permitted.
The Company reserves the right to make reasonable changes to routes, accommodations, transportation, or schedules where necessary due to operational requirements, weather conditions, safety concerns, or circumstances beyond its control.

 

In the event of the traveler(s) canceling their reservation for any reason, traveler(s) will be charged a penalty as outlined below. No cancellations or notifications of reduced numbers booked are accepted by phone. Only written notifications are considered valid. Written notifications include email. No-­shows are considered cancelled at the date of their first expected arrival. There will be no refunds to clients who do not complete an itinerary.

If cancelled:

More than 44 days and less than 60 days prior to first land day

20% Cancellation Fee

More than 29 days and less than 44 days prior to first land day

50% Cancellation Fee

No show up or less than 29 days prior to first land day

100% Cancellation Fee

 

No refunds shall be made for unused services, late arrivals, early departures, or no-shows. Refunds, where applicable, shall be processed less any non-recoverable bank charges, third-party fees, and applicable cancellation penalties. Approved refunds may take up to 30 business days to process.

 

The company does not hold itself responsible nor can it be held responsible for any delays prior to departure or, during the course of any tour mentioned whether brought about by technical difficulties, strikes, weather conditions or any other circumstances whatsoever, whether foreseen or unforeseen. It is understood that any expenses relating to these unscheduled extensions, amendments, or curtailments (eg. hotels, meals, airfares, telephone calls, etc) will be for the travelers’ account. We make every effort to ensure that all arrangements and services connected with your tour will be carried out as specified in the most efficient and effective way possible. However, we do not have direct control over the provision of services by suppliers and, whilst they are in all cases selected with the utmost care, we do not accept liability for error and omissions of such suppliers or acts that Ifude tours cannot control.

Clients are solely responsible for ensuring they possess valid:

  • Passports
  • Visas
  • Vaccination certificates
  • Medical documentation
  • Any other travel documents required for entry into Tanzania or other destinations included in the itinerary

Ifude Tours & Safaris Co. Ltd shall not be held responsible for denied entry, missed travel, or losses resulting from incomplete or invalid documentation.

Clients are also responsible for informing the Company in advance of any medical conditions, disabilities, allergies, dietary restrictions, or mobility limitations relevant to the tour.

The Company reserves the right to decline participation where safety may be compromised.

 

All clients are strongly advised to obtain comprehensive travel insurance before travel.

Travel insurance should include coverage for:

  • Medical emergencies
  • Emergency evacuation
  • Repatriation
  • Trip cancellation
  • Trip interruption
  • Delays
  • Loss of baggage and personal belongings

Ifude Tours & Safaris Co. Ltd does not provide travel insurance and shall not be liable for any losses that would otherwise be covered by insurance.

During tours, photographs and videos may be taken by the Company, guides, or other travelers for promotional and marketing purposes.

By participating in the tour, clients grant Ifude Tours & Safaris Co. Ltd permission to use such materials for lawful marketing and promotional purposes unless the client specifically requests otherwise in writing.

Any reasonable request for removal of identifiable images will be respected.

Once payment in whole or in part has been made by the traveler for a booking, the traveler shall be deemed to have accepted the terms and conditions contained herein as applicable to the contract entered into between the Company and the traveler or agent

Ifude Tours & Safaris Co. Ltd shall not be liable for any injury, illness, death, damage, loss, accident, delay, or irregularity arising from:

  • Acts or omissions of third-party suppliers
  • Acts of nature
  • Government actions
  • Civil unrest
  • Theft
  • Mechanical failures
  • Weather conditions
  • Force majeure events
  • Client negligence

The Company’s maximum liability shall not exceed the amount paid by the client for the affected tour.

We will honor the current year’s accommodation rates for safaris booked before May 1st for travel in the next calendar year. Example, if booked by May 1st 2025, the 2025 accommodation rates will be honored for travel in 2026. Park, concessions, and conservation area fees are not subject to this rule as they can change/increase without advance notice.

The client acknowledges that travel to remote and wildlife areas involves inherent risks, including but not limited to:

  • Wildlife encounters
  • Road conditions
  • Weather conditions
  • Limited medical facilities
  • Delays
  • Physical activities
  • Altitude-related conditions

Participation in all tours is entirely at the client’s own risk.

Clients must comply at all times with the instructions of guides, drivers, park authorities, accommodation staff, and safety regulations.

Wildlife sightings cannot be guaranteed as animals move freely within their natural habitat.

Ifude Tours & Safaris Co. Ltd acts as an intermediary for flights, accommodation, and other services provided by independent third-party suppliers. In such cases, the Company shall not be liable for any injury, loss, damage, delay, cancellation, or irregularity arising from the acts or omissions of such third parties, including but not limited to airline operational decisions, schedule changes, lost baggage, immigration delays, or service disruptions.

Where domestic or regional flights are included in or arranged as part of a tour package, Ifude Tours & Safaris Co. Ltd acts solely as a booking facilitator on behalf of the client. All such air services remain subject to the terms, operational control, and safety regulations of the respective airline. The Company shall not be responsible for flight delays, cancellations, overbooking, missed connections, or changes to flight schedules, but will provide reasonable assistance to support rebooking or itinerary adjustments where operationally possible.

All transport and air services are subject to the applicable terms and conditions of the relevant service providers.

Any complaints during the tour must be communicated immediately to the guide or Company representative to allow an opportunity for resolution.

Complaints submitted after completion of the tour must be received in writing within 30 days after the end of the tour.

Failure to notify the Company promptly during the tour may limit the Company’s ability to investigate or resolve the matter.

Any costs associated with emergency evacuation, rescue services, medical treatment, hospitalization, additional accommodation, or transportation resulting from illness, injury, accident, or personal circumstances shall be the sole responsibility of the client.

Ifude Tours & Safaris Co. Ltd shall not be liable for failure to perform any obligation where such failure is caused by circumstances beyond its reasonable control, including but not limited to:

  • Natural disasters
  • Floods
  • Fires
  • Pandemics
  • Government restrictions
  • Border closures
  • Political unrest
  • Terrorist activities
  • Airline disruptions
  • Strikes
  • Extreme weather conditions
  • Road closures

Any additional costs arising from such circumstances shall be the responsibility of the client.

Where possible, Ifude Tours & Safaris Co. Ltd may allow postponed travel dates subject to availability and supplier policies.

Any payments retained may be applied toward a future tour within 12 months from the original travel date unless otherwise agreed.

Additional costs resulting from revised travel dates or supplier charges may apply.

These Terms and Conditions shall be governed by and construed in accordance with the laws of the United Republic of Tanzania.

Any disputes arising under these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of Tanzania.
