STANDARD BOOKING TERMS & CONDITIONS
Over view
These Terms and Conditions apply to any tours booked with Ifude Tours & Safaris Co. Ltd; a local family-owned Safari Company based in MtowaMbu – Arusha, Tanzania – East Africa. These Terms & Conditions govern the contractual relationship between Ifude Tours & Safaris Co. Ltd and yourself (customer). Please read these Terms and Conditions carefully as by booking any tour with Ifude Tours & Safaris Co. Ltd you acknowledge that you have read and understood these Terms and Conditions and you accept and agree to be bound by these Terms and Conditions. If you have confirmed a booking on any tours with more than one client named and booked on such a booking, you shall be deemed to have accepted these Terms and Conditions on behalf of all clients named in the booking (including minors and those with a disability) and therefore all clients in that group indicate their acceptance and agreement to these Terms and Conditions. The client who confirmed the booking is considered to be the selected contact person for all other clients named in that booking.
A 20% deposit is required to reserve your space and begin the necessary booking processes and ground preparations. A second payment of 60% is due 30days (a month) prior to the first land day of the trip and a final 20% payment is due 15days prior to the first land day of the trip. In case of the last-minute booking, a full tour amount shall be deposited for the booked tour. An invoice will be sent to the client together with the payment instructions, all prices are quoted in US$ Dollars. We prefer payments by Wire Transfers through bank, which are subject to bank charges at the prevailing/current rate. Local currency can be accepted at the current dollar-buying rate. The price quoted is based on current park entry fees, camping fees, concession fees and government regulated VAT. If these government regulated fees should go up, the total cost of the itinerary will go up accordingly. All bank charges and credit card transaction surcharges are to be settled by the client or agent respectively. This includes transaction fees charged by our bank. The amount shown on the invoice is the amount that needs to reflect in our account and should bank charges have been deducted, we would have to invoice you subsequently.
Ifude Tours & safaris Company Limited reserves the right to Change (increase) all or any of the prices without prior reference to the Organizer in any of the following events: –
- Official devaluation or revaluation of the local destination currency against the United States Dollar, the EURO, the Sterling Pound, or the currency of the country in which the booking is made (if different);
- Any statutory increase in taxes or other dues imposed by the local Governments or any officer or agent thereof;
- Any local increase in the price of aviation fuel or motor vehicle fuel or any other increase in the cost of transport which forms part of the Services;
- Any increase in the cost of accommodation or meals forming part of the Services;
- Any increase in entrance fees to national parks, national reserves and sanctuaries and any other entrance fees forming part of the Service;
- Any other increase in the Company operating costs or cost of providing the Services which are beyond the Company control and which the Company has every reasonable effort to prevent.
However, we will make every effort to communicate the changes in advance to the client or trip organizer (agent) whenever possible to do that.
To book a trip with us, you contact us with your desired activities and destination priorities. We will work with you to create the ideal itinerary and accommodations to fit within your budget and interests. Along with this, we may also offer some other activities that fit your interests. Ifude tours recognizes that most people do not get many opportunities for such a trip; therefore, we put all our efforts into making this a safe and memorable trip for you that will leave a lifelong positive mark to you. For that reason, you might find that we are not the lowest price tour operator that can be found. However, be aware that there are always details that some operators will be willing to omit in order to offer a lower price. Our slogan has always been to offer the highest and best possible trip that worth the price quoted for you. A booking is confirmed and these Terms and Conditions shall apply when Ifude Tours & Safaris Company Ltd have received the applicable deposit from the client and the client has received written confirmation from Ifude Tours & Safaris Company Ltd of such booking. The client confirming the booking must be 18 years of age and above and agrees to provide full, complete, and accurate information as requested by Ifude Tours & Safaris Company Ltd to confirm the booking. Any client confirming a booking on any tours with more than one client named and booked on such booking represents and warrants to Ifude Tours & Safaris Company Ltd that: –
- i) They have all requisite consents and authority to make such a booking on behalf of all other clients named on the booking, and have communicated all necessary information to the other clients in order for them to give free and fully informed authorization to do so.
- ii) The information that they have provided regarding all clients is complete and accurate, and they have obtained all necessary consents and permissions to share such information i.e., client full name(s), number of adults and / number of children with ages, Preferred dates of travel (arrival and departure), Additional requests like health or dietary restrictions and requirements, copy of passport date page for each person etc. with Ifude Tours & Safaris Company Ltd for the purposes of completing the booking.
The Company reserves the right to substitute the hotels named in the itinerary, when absolutely necessary. Avoid unexpected accommodation changes by early booking to guarantee your first choice (minimum 60 – 35 days before the Safari). The Noted accommodations in itineraries will be immediately booked and confirmed upon receipt of payment and/or a signed contract. In the unlikely circumstance that, by the time Ifude tours tries to confirm and book, the rooms are no longer available, Ifude tours will substitute the mentioned accommodation in the itinerary with same standard, or allow the traveler(s) to give input on the selection of alternate locations. The total price may be adjusted as a result.
Traveler is advised to review the websites of the noted accommodations and/or to search for and read online reviews. While we do our best to recommend and accurately describe the best accommodation choices for your situation, Ifude tours cannot be held liable when the traveler’s expectations differ from the actual accommodation. Should a traveler arrive at an accommodation and find something unacceptable, Ifude tours will assist with the identification of a new location, but the costs will be billed to the traveler. If the accommodation has a defect that the traveler believes warrants a refund, Ifude tours will aggressively pursue a refund on traveler’s behalf
Our safari packages include all accommodation and meals while on safari as specified in the confirmed safari itinerary, airport transfers, airport pick up, park fees and services of guides and drivers. It is customary to tip your Driver Guide, as well as the Cook or Camp staff if you are camping during your safari but this remains at your own discretion and never feel forced to do that. You will also pay for your own beverages and personal items like laundry service and phone, and are responsible for any passport and visa fees, telephone calls, entertainment arrangements not shown in the itinerary, beverages unless specified, or any other items of a personal nature not promised on the itinerary. If after this contract has been completed the traveler wishes to change the itinerary, Ifude tours will endeavor to accommodate (you) any change requested by the client prior to the commencement of the safari whenever possible. However, cancellation fees should be levied by our suppliers (Third parties) these will be charged to you (agent) or your client, starting on the first day of safari, no complimentary change requests will be allowed. Ifude tours will make every possible effort not to change the itinerary after it’s been confirmed to clients but the company reserve the right to change any route or arrangements should conditions necessitate, to offer substitutes of equal value, or to accept the operation of any scheduled tour. The right is reserved to decline to accept or retain any person as member of any tour at any time, in which event an equitable amount will be refunded after deduction of third parties cancellation fees and all the expenses that the company has incurred in that tour.
In the event of the traveler(s) canceling their reservation for any reason, traveler(s) will be charged a penalty as outlined below. No cancellations or notifications of reduced numbers booked are accepted by phone. Only written notifications are considered valid. Written notifications include email. No-shows are considered cancelled at the date of their first expected arrival. There will be no refunds to clients who do not complete an itinerary.

NOTE: Reimbursement (Refund) policies
Since it is very difficult and relatively expensive to send money outside of Tanzania, we cannot guarantee a full amount refund. Therefore, we encourage you to think of postponing your trip instead of fully cancelling it.
In the event of postponement from your end, an amount can be applied to future tours with Ifude Tours & Safaris Co. Ltd for a period of 12 months. Payments may be applied towards trekking, Safaris, Day trips or any other tour at your request. Accommodations and flights will have more strict cancellation policies that may reduce the amount applied to future tours. All that is left after deducting any third-party cancellation fees / penalties will be available for your use in future tours with Ifude Tours & Safaris Co. Ltd or will be available for a full refund.
The company does not hold itself responsible nor can it be held responsible for any delays prior to departure or, during the course of any tour mentioned whether brought about by technical difficulties, strikes, weather conditions or any other circumstances whatsoever, whether foreseen or unforeseen. It is understood that any expenses relating to these unscheduled extensions, amendments, or curtailments (eg. hotels, meals, airfares, telephone calls, etc) will be for the travelers’ account. We make every effort to ensure that all arrangements and services connected with your tour will be carried out as specified in the most efficient and effective way possible. However, we do not have direct control over the provision of services by suppliers and, whilst they are in all cases selected with the utmost care, we do not accept liability for error and omissions of such suppliers or acts that Ifude tours cannot control.
We do not accept responsibility for any consequences whatsoever from a traveler failing to ensure that he or she has complied with the necessary health, passport, and visa requirements.
Going on a trip overseas carries with it a degree of risk and you must be protected by adequate travel insurance for the duration of your trip. We are happy to offer advice on suitable policies on request, but it is your responsibility to ensure that you are appropriately covered. In particular, we recommend that you purchase a travel protection plan to help protect you and your travel investment against the unexpected. Your Travel protection plans can include coverage for Trip Cancellation, Trip Interruption, Emergency Medical and Emergency Evacuation/Repatriation, if necessary, Trip Delay, Baggage Delay, Claims and more. Ifude Tours & Safaris Ltd does not provide travel insurance therefore the client must obtain travel insurance from their home country with the minimum recommended medical, evacuation, and repatriation coverage covering all applicable dates of any travel with Ifude Tours & Safaris Ltd and this insurance must cover personal injury and emergency medical expenses. It is strongly recommended that clients also extend their coverage to include cancellation and all other expenses that might arise as a result of loss, damage, injury, delay, or inconvenience occurring to the client. The cost of the tour does not include any insurance coverage for the client, and that the client is required to obtain separate coverage at an additional cost to the tour price. When obtaining travel insurance, the client must ensure the insurer is aware of the type of travel to be undertaken so that the insurer may properly cover travel on the applicable tour.
The client agrees that while participating in any of Ifude Tours & Safaris Ltd tour; images, photos or videos may be taken by other clients and/or Ifude Tours & Safaris Ltd representatives or Guides that may contain or feature the client in part or in whole. The client acknowledges that they consent to any such images, photos and videos being taken and grants a permission and the right to Ifude tours & Safaris Company Limited and its affiliates to use any photographs and videos taken during tours for marketing or any other advertising material. The client hereby gives consent to use such photographs and authorizes the Company to retain copyright for these photographs and such material. The client acknowledges that he or she understands that any photos or videos of him or herself that he or she disapproves shall be taken down immediately upon their request.
Once payment in whole or in part has been made by the traveler for a booking, the traveler shall be deemed to have accepted the terms and conditions contained herein as applicable to the contract entered into between the Company and the traveler or agent
Ifude tours & Safaris Co. Ltd acts only as an agent for the various independent suppliers that provide hotel/Lodge accommodations, transportation, sightseeing, activities, or other services connected with its tours. Such services are subject to the terms and conditions of those suppliers. Ifude tours & Safaris Co. Ltd and their respective employees, agents, representatives, and assigns accept no liability whatsoever for any injury, damage, loss, accident, delay, or any other incident which may be caused by the negligence, defect, default of any company or person in performing these services. Responsibility is not accepted for losses, injury, damages, or expenses of any kind due to sickness, weather, strikes, hostilities, wars, terrorist acts, and acts of nature, local laws, or other such causes. All services and accommodations are subject to the laws and regulations of the country in which they are provided. Ifude tours & Safaris Co. Ltd is not responsible for any baggage or personal effects of any individual participating in the tours/trips arranged by Ifude tours & Safaris Co. Ltd. Individual travelers are responsible for purchasing a travel insurance policy, if desired, that can cover some of the expenses associated with the loss of luggage or personal effects.
We will honor the current year’s accommodation rates for safaris booked before May 1st for travel in the next calendar year. Example, if booked by May 1st 2025, the 2025 accommodation rates will be honored for travel in 2026. Park, concessions, and conservation area fees are not subject to this rule as they can change/increase without advance notice.
The client acknowledges that the nature of our tour products is adventurous and may involve a significant amount of risk to clients’ health and/or safety. There are dangers inherent to adventure travel generally and the client acknowledges they have considered such risks to health and safety and are willing to assume it to the full extent legally possible, by confirming their booking of this tour. The client hereby assumes all such risk and does hereby release Ifude Tours & Safaris Ltd from all claims and causes of action arising from any losses, damages or injuries or death resulting from these risks inherent in travel, including adventure travel specifically, visiting wild and remote areas, and participating in adventurous activities such as those included in the tour itineraries. Standards of hygiene, accommodation, and transport in some areas where the tours take place are often lower than comparable standards than what the client may reasonably expect in their home country or region.
The client acknowledges that the degree and nature of personal risk involved depends on the nature of the tour booked, or the location(s) in which such a tour is to operate, and that there may be a significant degree of personal risk involved in travel on the tour, particularly if such a tour involves physical activities, travel to remote locations, high altitude activities or other high-risk activities, or travel areas of Tanzania with under-developed infrastructure. The client acknowledges they have considered the potential risks, dangers, and challenges in light of their own personal capabilities and needs, and expressly assumes the risks attendant to travel under such conditions. The client acknowledges and agrees that Ifude Tours & Safaris Ltd will provide, to the best of its ability, information, or guidance to the client with respect to local customs, weather conditions, specific safety concerns, physical challenges, or laws in effect in any locations where tours are operated, but will not be liable if the client does not act according to the information provided.
The client must at all times strictly comply with all applicable laws and regulations of Tanzania and regions visited on the applicable tour. Should the client fail to comply with the above or commit any illegal act when on the tour or, if in the opinion of the Ifude Tours & Safaris Ltd (acting reasonably), the client’s behavior is causing or is likely to cause danger, distress or material annoyance to others, Ifude Tours & Safaris Ltd may terminate that client’s travel arrangements on any tour immediately without any liability on Ifude Tours & Safaris Ltd part and the client will not be entitled to any refund for unused or missed services or costs incurred resulting from the termination of the travel arrangements, including, without limitation, return travel, accommodations, meals, and/or incidentals.
Clients agree that they are responsible for any costs incurred by Ifude Tours & Safaris Ltd, as a result of damage, destruction, theft, or excess cleaning fees caused or occasioned by the client while on tour. Clients agree to immediately report any pre-existing damage of this kind to staff of the accommodation, transportation service, or facility (as appropriate) and/or Ifude Tours & Safaris Ltd representative as soon as possible upon discovery by the client. Client agrees to take all prudent measures in relation to their own safety while on any Ifude Tours & Safaris Ltd tour, including, but not limited to, the proper use of safety devices such as seatbelts, harnesses, and helmets, and obeying all posted signs and warnings in relation to client health and safety. Ifude Tours & Safaris Ltd, nor its Third-Party Suppliers shall not be liable for any failure on the client’s part to comply with safety instructions or recommendations of Ifude Tours & Safaris Ltd or its Third-Party Suppliers.
Client agrees to bring any complaints regarding a tour to Ifude Tours & Safaris Ltd as soon as possible in order to provide Ifude Tours & Safaris Ltd with the opportunity to address such complaint properly. Client agrees to inform the head guide or other designated Ifude Tours & Safaris Ltd representative at the earliest opportunity. Ifude Tours & Safaris Ltd assumes no liability for complaints that are not properly brought to the attention of Ifude Tours & Safaris Ltd with sufficient notice for Ifude Tours & Safaris Ltd to resolve or attempt to resolve any client complaints. Any complaint made after the completion of a tour must be received in writing by Ifude Tours & Safaris Ltd within 30 days of the end of the tour in question.
The company’s contract is governed by and constructed in accordance with the law of Tanzania. Accordingly, each party irrevocably submits to the jurisdiction of the Tanzanian courts to amicably settle any dispute or matter arising under the contract.
